Programs Coordinator
Location: Remote (within Canada)
Employment Type: 35 hours per week, 8-week contract
Working Hours: Monday – Friday, 9am – 4:30pm EST
Pay: $25/hr

About Equal Voice:
Equal Voice is a national, registered charity dedicated to achieving gender parity in Canadian politics. Since 2001, we have been leading the charge in research, education, and leadership development to increase the representation of women and gender- diverse individuals in politics—at all levels of government. Through our programs, we provide the training, resources, and networks needed for women and gender-diverse individuals to run for office and thrive in political life.
About the Role:
- Support the planning and delivery of program sessions (virtual and in-person)
- Coordinate logistics for events, including scheduling, speaker outreach, and materials preparation
- Coordinate program participant communications (emails, reminders, follow-ups)
- Track registrations and maintain accurate participant lists and databases
- Respond to general inquiries regarding programs
- Attend meetings and support post-meeting reports or summaries
- Help prepare program materials (slides, agendas, resource documents)
- Coordinate with speakers, facilitators, and partners as needed
- Assist with basic data entry and reporting on program outcomes
- Organize and maintain program files and folders (e.g., SharePoint or internal systems)
- Provide general administrative support to the programs team
- Other duties as assigned
Qualifications:
- Must be between 15 and 30 years old (CSJ requirement)
- Currently enrolled in a post-secondary program (or recent graduate), preferably in communications, public administration, event management, political science, or a related field
- Strong organizational skills with the ability to manage multiple tasks and deadlines
- Excellent written and verbal communication skills, with attention to detail
- Comfortable drafting emails and communicating with a range of stakeholders (participants, speakers, partners)
- Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint); experience with tools like SharePoint, Teams, or CRM systems is an asset
- Ability to work independently and take initiative, while also collaborating effectively within a team
- Strong time management skills and ability to prioritize in a fast-paced environment
- Experience supporting events, programs, or administrative functions is an asset (school, volunteer, or work experience)
- Comfortable with data entry, tracking information, and maintaining organized records
- Professional, reliable, and responsive, especially in managing communications and follow-ups
- Interest in public affairs, nonprofit work, or advancing women’s leadership is considered an asset
- Access to a personal computer and stable internet connection required for this role.
