Administrative Coordinator

Location: Remote (within Canada)

Employment Type: 35 hours per week, 8-week contract 

Working Hours: Monday – Friday, 9am – 4:30pm EST

Pay: $25/hr

About Equal Voice: 

Equal Voice is a national, registered charity dedicated to achieving gender parity in Canadian politics. Since 2001, we have been leading the charge in research, education, and leadership development to increase the representation of women and gender- diverse individuals in politics—at all levels of government. Through our programs, we provide the training, resources, and networks needed for women and gender-diverse individuals to run for office and thrive in political life.   

 

About the Role: 

  • Organize and maintain the organization’s CRM system (Monday.com), ensuring data is accurate, up-to-date, and well-organized  
  • Support data imports, clean-up, and ongoing database hygiene, including deduplication, tagging, and segmentation  
  • Track and organize contact records across key stakeholder groups (partners, donors, government, community members)  
  • Coordinate outreach efforts, including drafting and sending emails, managing contact lists, and tracking engagement  
  • Support the execution of outreach campaigns and event invitations, including RSVP tracking and follow-ups  
  • Assist in developing and maintaining systems, processes, and documentation related to CRM and data management  
  • Coordinate internally with team members to ensure consistent data practices and alignment across projects  
  • Organize and maintain digital files and systems (e.g., SharePoint, internal databases)  
  • Take ownership of CRM accuracy and usability, ensuring the system is reliable and useful for the team  
  • Other duties as assigned 

 

Qualifications: 

  • Must be between 15 and 30 years old (CSJ requirement) 
  • Minimum 2 years of experience in an administrative role 
  • Exceptional organizational skills, with the ability to manage multiple priorities, deadlines, and moving pieces simultaneously  
  • Strong written and verbal communication skills, with confidence interacting with internal teams, external partners, and senior stakeholders  
  • Highly detail-oriented, with a track record of maintaining accurate records, documents, and systems  
  • Proactive and solutions-oriented, with the ability to anticipate needs and take initiative without constant direction  
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, PowerPoint) and experience with collaboration tools such as Teams and SharePoint  
  • Experience with CRM systems or databases (e.g., maintaining contact lists, tracking engagement) is an asset  
  • Strong time management skills and ability to prioritize effectively in a fast-paced, dynamic environment  
  • Ability to maintain discretion and professionalism when handling sensitive or confidential information  
  • Experience in a nonprofit, public affairs, or mission-driven organization is an asset 
  • Access to a personal computer and stable internet connection required for this role.
