Location: Remote (Anywhere in Canada; flexibility in scheduling is required to accommodate Canadian time zones)

Employment Type: Full-time, 1-year contract with the possibility of extension

Travel: Some travel is required ~10%.

Salary: $50,000 to $65,000 depending on experience and expertise.

Equal Voice (equalvoice.ca) is a national, bilingual, multi-partisan charity dedicated to electing more women and gender-diverse individuals to all levels of political office in Canada. About the Role

The Programs Coordinator will support the coordination and delivery of Equal Voice’s campaign schools, chapter events, and other virtual or in-person programs. Reporting to the Director of Public Affairs & Programs and working closely with the Events Manager and Director of Operations, this role is ideal for someone who is detail-oriented, proactive, and energized by working in both online and in-person community settings.

This position averages 35 hours per week and sometimes includes evening or weekend events.

Key Responsibilities

Calendar, Scheduling & Briefings

  • Proactively manage a detailed calendar of internal and external events.
  • Coordinate availability with team members, stakeholders, and partners across Canadian time zones.
  • Send reminders, confirm attendance, and reschedule as needed to ensure seamless scheduling.
  • Draft and distribute agendas and briefing notes.
  • Prepare professional event materials, including speaker bios, participant lists, and program overviews.
  • Ensure campaign school and program documents are accurate, professional, and aligned with Equal Voice’s mission and values.

Event and Program Logistics

  • Manage end-to-end logistics for campaign schools, conferences, receptions, and other events.
  • Coordinate venue selection and set-up (AV needs, accessibility requirements).
  • Book travel and accommodations for staff, speakers, and guests.
  • Choose inclusive catering/menu options that reflect diverse dietary and cultural needs.
  • Work with external vendors to ensure timely, high-quality service delivery and contingency planning for last-minute changes.

Speaker and Guest Management

  • Develop outreach strategies to recruit diverse, high-quality speakers and facilitators.
  • Research and curate a pool of potential speakers, panelists, and subject-matter experts from across the political spectrum.
  • Manage invitations, confirmations, logistics, and honoraria for speakers and participants.
  • Ensure panels reflect gender parity, political diversity, and inclusivity.

Event Planning and Evaluation

  • Develop detailed event plans, budgets, and timelines.
  • Manage registration, e-blasts, promotional materials, and stakeholder communications.
  • Use tools like EventCreate, Zoom, Monday.com, and CRMs to track tasks and stakeholders.
  • Conduct post-event surveys and evaluations, preparing summary reports to inform future planning.

Chapter Support

  • Maintain ongoing communication with Equal Voice regional Chapters.
  • Provide logistical and administrative support for chapter-led events.
  • Share best practices and resources to ensure alignment across the country.
  • Track Chapter needs and provide support to overcome local challenges.

Equity, Inclusion, and Accessibility

  • Apply a DEIA lens in all aspects of planning, from venue selection to speaker outreach.
  • Ensure venues, platforms, and materials are accessible and inclusive.
  • Provide or identify language supports and interpretation when needed.

 

Qualifications and Education:

  • 1–3 years of experience in event/program coordination, nonprofit management, or project management.
  • Post-secondary education in a related field is an asset.
  • Strong organizational skills with proven event planning experience.
  • Proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint) and comfort with CRMs and online document management systems.
  • Experience with NationBuilder, EventCreate, Monday.com, or similar platforms is a strong asset.
  • Excellent written and verbal communication skills.
  • Experience with volunteer coordination and engagement.
  • Commitment to DEIA principles and ability to work in a multi-partisan environment.
  • Fluency in both French and English is an asset.
  • Ability to work flexible hours, including some evenings and weekends.
