Salary: $75,000 to $90,000 depending on experience and expertise.

About the Role
The Chief of Staff is a pivotal role that blends executive and team support, office administration, and event support to keep Equal Voice running smoothly. Reporting to the Executive Director, you will oversee operations, governance support, and internal processes while acting as a key liaison between the Executive Director, staff, and external vendors, contractors and suppliers.

Key Responsibilities
Executive and Administrative Support:
• Provide high-level administrative and strategic support to the Executive Director and EV team.
• Support the Executive Director with coordinating governance activities, including scheduling board and committee meetings, preparing agendas, and maintaining records.
• Manage and triage executive communications, drafting and editing correspondence, reports, and presentations.
• Assist in budgeting, planning, and reporting, ensuring smooth financial operations.
• Handle sensitive and confidential information with discretion.
• Oversee organization calendar management, ensuring the Executive Director and team’s schedules aligns with organizational priorities.
Operations and Office Management:
• Ensure the efficient operation of a fully remote team, supporting internal workflows and collaboration.
• Manage financial administration tasks, including bookkeeping, invoices, and reimbursements using QuickBooks, Plooto, and Dext.
• Work closely with the entire EV team to align work with annual and strategic plans and initiatives.
• Streamline internal processes to improve efficiency and maintain oversight of administrative systems.
• Serve as a key liaison with vendors, suppliers, contractors, etc. including the CFO and accounting services.
• Other duties as assigned.
Event Coordination and Stakeholder Engagement:
• Support logistics and planning for virtual and in-person events, including board meetings, training sessions, and fundraising initiatives.
• Provide support for Zoom meetings, webinars, and stakeholder communications, ensuring seamless execution.

• Tech-Savvy: You are proficient in Microsoft 365 (Teams, Outlook, SharePoint, OneDrive, Word, Excel, PowerPoint), QuickBooks, Plooto, Dext, Zoom, Mailchimp, Nation Builder, and Canva.
• Partnership-Minded: You excel at building relationships and fostering collaboration.
• Politically astute: Adept at navigating the nuances of government, legislative processes, and public sector environments; able to build and maintain strategic relationships with elected officials, political staff, and civil service leaders to advance the organization’s mission.
• Values-Driven: You are committed to diversity, equity, and inclusion, with experience working in multi partisan and diverse environments.
• Bilingual (French/English): An asset but not required.
Experience: 5+ years in executive support, office management, or operations in either the private, public or non-profit sectors. Experience in the Canadian political sector is an asset but not required.
