1. Overview

Equal Voice (EV) is hosting its national Annual Meeting of Members on Saturday, January 31st 2015 from 1 p.m to 4 p.m ET in the O’Connor Room at the Sheraton Hotel (150 Albert Street) in Ottawa, Ontario. The national meeting will take place via live web and/or audio-conferencing to facilitate nationwide participation. This meeting is an opportunity for all of Equal Voice’s members, regardless of where they live or to which chapter they are affiliated, to come together to advance the governance of the organization. 

There will be several additional host locations in most provinces where Equal Voice chapters are currently in place.  At all of these locations, members who have paid their membership fees within the last year as of January 15th 2015 will be able to participate in the national meeting by audio-conference or web-conference. Equal Voice is also arranging for members to participate electronically from their homes. More information about electronic participation will be available on Equal Voice’s website after the 15th of January.

At this year’s Annual Meeting of Members, EV seeks to report on our activities, to review the financial statements for the year 2014, to appoint a Public Accountant and to elect members of EV’s National Board of Directors.


2. Membership Requirements

EV's legal counsel recently advised us that, pursuant to our bylaws, EV is able to accept applications for new memberships until the end of day Friday, January 16, 2015.  Anyone who completes a membership application by end of day on Friday, January 16th will be able to vote in our upcoming Annual Meeting of Members.  

Online membership applications need to be completed no later than 11:59 p.m. on Friday, January 16th in whichever Canadian time zone you reside. Alternately, individuals may submit an application over the phone at Equal Voice’s head office in Ottawa, or by submitting a paper application to EV's head office, by 5 p.m. ET on Friday, January 16th 2015.

3. About Equal Voice 

Equal Voice is Canada’s only national, multi-partisan, not-for- profit organization promoting the election of women.  EV’s objectives include: 

(a) undertaking public education and creating public awareness about the under representation of women at all levels of government in Canada;

(b) promoting the goal of fairer representation of women in elected political positions at all levels of government in Canada; and

(c) supporting and working with other organizations towards the goal of attaining fairer representation of women in political office at all levels of government in Canada. 

The Equal Voice National Board of Directors meets for a minimum of one hour via tele-conference several times per year. Officers of the EV Board, including its National Chair, Vice Chair, Secretary and Treasurer, are chosen by the Directors at the first meeting of the National Board after the Annual Meeting of Members. 

As a national, Not- for- profit federally incorporated entity, Equal Voice, including all of its chapters, exists as one organization which is governed by the Canada Not-for-Profit Corporations Act.  EV is strictly multi-partisan and does not champion one political party over another. EV does not have charitable status and functions through a variety of corporate sponsorships, occasional grants, membership revenues and individual donations. 

 

4. About Equal Voice’s National Board

EV currently has a nationally based Board of Directors of 18 (eighteen) comprised of:

- 7 Directors elected by the entire EV membership;

- 9 Directors elected by the respective Chapter Chairpersons (or Co-Chairpersons) who are in turn elected by the members belonging to those Chapters;

- 1 Immediate Past Chairperson position elected by the entire EV membership;

- 1 National Youth Chair elected by the Youth Chapter Chairperson or Co-Chairpersons who are in turn elected by the members of EVs Youth Chapter.

 

Chapter Chairs

Chapter Chairperson (or Co-Chair) positions are available in the following Chapters: 

- Equal Voice Newfoundland and Labrador;

- Equal Voice Nova Scotia;

- Equal Voice New Brunswick;

- Equal Voice Toronto;

- Equal Voice Ottawa;

- Equal Voice Saskatchewan

-       Equal Voice Alberta South (Calgary and area);

- Equal Voice Alberta North (Edmonton and area);

Equal Voice British Columbia. 

EV’s Chapter Chairpersons, specifically, are responsible for championing Equal Voice within their regions through convening a Steering committee, organizing strategic events and supporting the programs, objectives and governance framework of the organization as a whole, among other things.  

 

National Youth Chair

As a member of the National Board of Directors, the National Youth Chair is responsible for developing and implementing a Canada-wide action plan to increase the number of youth chapters on university and college campuses. In addition, the newly elected National Youth Chair will work with representatives from youth chapters on the design and implementation of programming regarding youth engagement activities promoting the election of more women in Canada.


4. Voting in Equal Voice’s Annual Meeting of Members 

Members who have chosen to affiliate with a local EV Chapter in their area where they exist (EV members are automatically invited to do so upon payment) will have the opportunity to vote for their Chapter Chairperson or Co-Chairpersons.  All of EV’s members will have the opportunity to vote for the seven non-Chapter Director positions as well as the Immediate Past Chair. 

Additionally, EV Youth members will have the opportunity to vote for their National Youth Chairperson.  EV Youth members must be age 25 and under and must have paid their membership dues to Equal Voice as of January 15th 2015.

Equal Voice will be giving members the opportunity to vote in absentia via the internet. Absentee Voting will be available from Wednesday, January 28th at 12 p.m. ET and will conclude on Saturday, January 31st at 3:30 p.m. ET.  All voting details will be sent by email and voting will be conducted through a completely confidential highly secure website, Simply Voting, which permits the tallied votes to be presented without it being possible to identify who each member voted.
